In an APA Style paper, every page has a page header. For student papers, the page header usually consists of just a page number in the page’s top-right corner. For professional papers intended for publication, it also includes a running head .

A running head is simply the paper’s title in all capital letters. It is left-aligned and can be up to 50 characters in length. Longer titles are abbreviated .

Both versions include the paper title and author’s name and affiliation. The student version includes the course number and name, instructor name, and due date of the assignment. The professional version includes an author note and running head .

The abstract is a 150–250 word summary of your paper. An abstract is usually required in professional papers, but it’s rare to include one in student papers (except for longer texts like theses and dissertations).

The abstract is placed on a separate page after the title page . At the top of the page, write the section label “Abstract” (bold and centered). The contents of the abstract appear directly under the label. Unlike regular paragraphs, the first line is not indented. Abstracts are usually written as a single paragraph without headings or blank lines.

Directly below the abstract, you may list three to five relevant keywords . On a new line, write the label “Keywords:” (italicized and indented), followed by the keywords in lowercase letters, separated by commas.

APA Style does not provide guidelines for formatting the table of contents . It’s also not a required paper element in either professional or student papers. If your instructor wants you to include a table of contents, it’s best to follow the general guidelines.

Write the section label “References” at the top of a new page (bold and centered). Place the reference entries directly under the label in alphabetical order.

Finally, apply a hanging indent , meaning the first line of each reference is left-aligned, and all subsequent lines are indented 0.5 inches.

Precisely because this letter is your introduction to an employer and because first impressions count, you should take great care to write an impressive and effective letter. Remember that the letter not only tells of your accomplishments but also reveals how effectively you can communicate.

The appropriate content, format, and tone for application letters vary according to the position and the personality of the applicant. Thus, you will want to ask several people (if possible) who have had experience in obtaining jobs or in hiring in your field to critique a draft of your letter and to offer suggestions for revision.

Despite the differences in what constitutes a good application letter, the suggestions on these pages apply generally.

What to include in a cover letter

  • Try to limit your letter to a single page. Be succinct.
  • Assess the employer’s needs and your skills. Then try to match them in the letter in a way that will appeal to the employer’s self-interest.

Opening Paragraph

State why you are writing.

Establish a point of contact (advertisement in a specific place for a specific position; a particular person’s suggestion that you write): give some brief idea of who you are (a Senior engineering student at UW; a recent Ph.D. in History).

Highlight a few of the most salient points from your enclosed resume.

Arouse your reader’s curiosity by mentioning points that are likely to be important for the position you are seeking.

Show how your education and experience suit the requirements of the position, and, by elaborating on a few points from your resume, explain what you could contribute to the organization.

Closing paragraph

Stress action. Politely request an interview at the employer’s convenience.

Indicate what supplementary material is being sent under separate cover and offer to provide additional information (a portfolio, a writing sample, a sample publication, a dossier, an audition tape), and explain how it can be obtained.

How to format a cover letter

  • Type each letter individually, or use a word processor.
  • Use good quality bond paper.

How to Write an APA Style Letter

If you are writing a cover letter to apply for a job or delivering information in a business setting, you want your letter to look and sound professional. American Psychological Association, or APA, style guidelines follow a traditional business letter format that has a clean appearance and focuses on succinct, specific language. While in-person discussions or e-mails might use a conversational tone, APA style letters are formal, and following the format and style often gives the reader a notable first impression of you and your work.

Create a template for your letter. From the top of the page, the format for the APA style letter is: Sender’s Address, Date, Recipient’s Address, Salutation, Body, Closing and Sender’s Name. Most APA letters are written in block format, in which all lines are justified to the left. You can also use modified block, in which your address, the date and closing are justified to the right, or you can justify the address, date and closing in the center for semi-block format.

Ensure that your document is set to single-spaced paragraphs. Type your address at the top of the page unless you are using a paper with your letterhead. Do not include your name in this address; instead, use only your street address, city, state and zip code. Return two lines, and then add the date. Writers in the United States should follow American date format, which is the month followed by the day and year. Set off the year with a comma and one space.

Return another two lines and type the recipient’s address. You will start with the recipient’s name, followed by the street address, city, state and zip code. Return two more lines and write the salutation, which is usually “Dear Mr. Smith.” Address the specific person you are writing to rather than a general “Dear Hiring Manager,” and use a personal title followed by the person’s last name. If you are unsure of the reader’s gender, you may write their full first and last name, such as “Dear Chris Smith.” Use a colon after the salutation.

Return two lines and begin typing the body of your letter. According to the Purdue Online Writing Lab, the first paragraph states the main point of your letter, and while you can begin with a friendly comment, transition to the purpose of your letter. The second paragraph goes into more detail to support your purpose. When writing a cover letter for a job, for example, use the second paragraph to highlight points on your resume, give background information or tell a short anecdote about your work. Your final paragraph should restate your purpose and its importance. You might include contact information in this section or end with a statement of gratitude. Each paragraph should have two lines of space between them.

Return two lines and write your closing, which is often “Sincerely” or “Thank you.” Use a comma after the closing. Return four lines and type your name; this space leaves room for your handwritten signature.

Proofread your letter, keeping a formal tone in mind. Use active rather than passive voice wherever possible, and use the “I” pronoun when talking about your opinions or the “we” pronoun when representing the ideas of a company. When writing a letter about employment opportunities, make the letter specific by including the job title and ask for an interview. While you should avoid a tone that is too casual, keep in mind that an overly formal voice can alienate the reader.

When you are applying for a job, how you format your cover letter is important because the letter is one of the first impressions you'll make on an employer. In fact, how you format your letter is almost as important as what you write in it.

A cover letter that is formatted incorrectly, or difficult to read, can quickly eliminate you from the pool of candidates, so it's important to pay just as much attention to the formatting of your letter as to its content.

Here's information on cover letter formatting guidelines including setting page margins, choosing a font style and size, paragraph and section spacing, and more tips on how to format cover letters for employment.

Formatting includes factors such as page margins , font type and size , line, paragraph and section spacing, and document type. For example, a letter without the correct spacing between paragraphs, or with too much text on a page, is going to look cluttered. Similarly, a letter saved as a file type that is not meant for a text document (such as a .jpg or a .png) may prevent the reader from opening and viewing it. 

Adhering to typical standards in formatting is especially important considering that communication skills are important in nearly every field, and failing to compose a readable cover letter will certainly not inspire confidence in your abilities.

On the other hand, a cover letter that is saved correctly and uses sufficient white space , a simple, reasonably sized font, and an appropriate salutation and closing will make a positive impression on your potential employers.

How to Format a Cover Letter

The easiest way to format a letter is to write the letter first, and then format it. Once you have all the content ( contact information , why you are applying and qualified, signature, etc.) on the page, you can then easily adjust the margins, font, and alignment. Here's an overview of each section.

  • Contact Section:  How you include your contact information will vary based on how you are sending your cover letter. If you are uploading or mailing a letter, put the information at the top of the page.

With an email cover letter, your contact information should be below your signature.

  • Employer Address : How you address the cover letter will depend on how much information you have about the employer. 
  • Salutation:  A  salutation is the greeting you include at the beginning of a cover letter. Here's how to write a salutation, including what to use if you don't have the name of a contact person to list.
  • Body:  The body of a cover letter includes the sections where you explain why you are interested in and qualified for the job for which you are applying. Here's what to include in each section of your letter.
  • Paragraphs or Bulleted Lists:  A more traditional cover letter contains written paragraphs describing your qualifications. However, there are times when bulleted lists may also be appropriate to include.
  • Closing:  When you're writing a cover letter or sending an email message to apply for a job it's important to close your cover letter professionally.

Body of Cover Letter The body of your cover letter lets the employer know what position you are applying for, why the employer should select you for an interview, and how you will follow up. Organize the body of your cover letter into the following paragraphs:

  • First Paragraph The first paragraph of your letter should include information on why you are writing. Mention the position you are applying for and where you found the job listing. Include the name of a mutual contact, if you have one.
  • Middle Paragraph(s) The next section of your cover letter should describe what you have to offer the employer. Mention specifically how your qualifications match the job you are applying for. Think of this section of the cover letter as where you're making a pitch for your fit as an employee and showing what makes you a great candidate. Make the connection between your qualifications and the job requirements clear . Use this section to interpret your resume—don't repeat it verbatim.
  • Final Paragraph  Conclude your cover letter by thanking the employer for considering you for the position. Include information on how you will follow up. Optionally, you can briefly restate why you would be a good fit for the position.

Formatting Tips for Cover Letters

Here are some formatting tips to keep in mind when you are writing your letter:

  • Font Choices:  The details count when it comes to cover letters, so choose a professional font in a 10- or 12-point size. This is no time to break out emoticons or emojis.
  • Email vs. Hard Copy Letters:  The sample letter below is formatted for a printed-out hard copy. If you are emailing your cover letter, you'll need to pay particular attention to the  subject line  of your email. See more tips for  formatting your email cover letter .
  • Letter Spacing:  Your letter should be single-spaced. Include a space between every paragraph, and in general, a space between each section of the letter. (That is, there should be a line break between the address and the date, and then again between the date and the salutation.)
  • Email Spacing: In an email cover letter, where many sections are left off, you will want to include a space between the salutation and between each paragraph, and another space before your complimentary close. 
  • Proofreading:  Remember that note about details counting in cover letters? Make sure to avoid errors by carefully proofreading your letter.

Use your word processor's spell check to catch common errors, and then consider reading your letter aloud—or having a friend review it—to catch additional errors.

Students should use the student version of the title page unless their instructor or institution has requested they use the professional version. 1 Addressing Cover Letter

Address your cover letter by naming an exact recipient. Regardless of the intent of your cover letter, you should target one specific person. If necessary, research the organization to confirm the person to whom you are writing is the one who handles these types of inquiries. This small details shows you have a real interest in being involved in the organization and you are not simply sending out letters randomly. A cover letter determines the first impression the creator makes on a potential publisher, employer or adviser. Making sure that cover letter is specific to the audience and position is crucial.

2 Using Business Letter Format

Use a business letter format to continue writing the cover letter. Start with the date and follow the the name and contact information of the person to whom you are writing. Include a formal greeting such as “Dear Mr. Jones,” followed by a colon. Your letter should be flush left with one-inch margins on all sides of your document with a font larger than 12 points. Accepted font choices in APA style are Times, Arial or Calibri. This letter should be single-spaced with a space between each paragraph.

3 Body of the Cover Letter

Explain in the first sentence of the body of your letter why you are writing it. For example, if you are submitting an article for publication in a psychology journal, you could write, “I have enclosed a document for your review which explores the possible connection between diet and developmental disorders.” Throughout the body of your letter, show the person to whom you are writing how the organization will benefit from your involvement.

4 Contents of Included Package

Include specific information about the contents of the package you are sending. In a Purdue Owl cover letter description, the site suggests using sing a "story-like format" to describe your academic and professional background is one approach. APA format cover letters are used to add context to the materials being submitted. If you have enclosed a résumé, manuscript and photographs in your package, you will want to address what is being submitted and how they should be reviewed by the receiver.

5 Explaining APA Cover Letter Intent

Explain your intention for sending the cover letter and any other contents of the package. According to the sixth edition of the APA Publication Manual, the APA cover letter is a rare exception in APA style guidelines allowing you to write from a first-person point of view. Detail in this section how you would like the reader to proceed after reviewing the package.

6 Conclusion of the Cover Letter

Close your APA cover letter by thanking the recipient for his time and consideration when reviewing your submission. Sign your name with blue or black ink at the bottom of the page above your typed name.

Why bother with a cover letter at all?

We bet when you see a job listing that says “ cover letter optional ,” you breathe a sigh of relief, gleefully submit your resume, and move on. But you’re truly doing yourself a disservice by not including a cover letter (or by writing one that’s super generic or formulaic).

“When you’re writing a resume you’re oftentimes confined by space, by resume speak, by keywords—you’re up against a lot of technical requirements,” says Melody Godfred, a career coach and the founder of Write in Color who’s read thousands of cover letters over the course of her career. “In a cover letter you have an opportunity to craft a narrative that aligns you not only with the position you’re applying to but also the company you’re applying to.”

Whether you’re writing a cover letter for a data scientist or marketing manager position, an internship or a senior-level role, a startup or a Fortune 500 company, you’re going to want to tailor it to the role, company, and culture. A strong, customized cover letter will help you explain your value proposition and stand out from the stack of applicants.

What do I write in a cover letter? The 3 basic elements

You'll notice from our cover letter examples that the body of your text can vary a lot depending on factors like the position you're applying for, your career stage, and the type of cover letter requested by the hiring manager. For instance, a writing sample cover letter is different from a traditional professional cover letter (we'll get there soon.)

However, there is some information that you can't leave out. It's important to highlight your most relevant experience, skills, and qualifications for the role in any type of cover letter. Plus, make sure to write an engaging first paragraph to grab the reader's attention, and an effective final paragraph, ideally followed by a call to action, in order to leave a lasting positive impression.

You could say that cover letters are a little like puzzles. When you put each component in its proper place (and remove any parts that don’t fit), you create a complete picture. Even though that picture is always different, the types of pieces are basically the same. We've broken down these three key elements for you:

1. An engaging opener

How you start a cover letter is everything. Your opening lines influence whether someone keeps reading—and you want them to, right? “Starting with something that immediately connects you to the company is essential—something that tells the company that this is not a generic cover letter,” Godfred says. “You have to say something that tells the employer, ‘I wrote this just for you.’”

It can be a childhood memory tying you back to the company’s mission. It can be a story about the time you fell in love with the company’s product. It can be an anecdote from another job or experience showing how hard of a worker you are. Whatever you decide to open with, make it memorable.

2. A clear pitch

Use the next few paragraphs of your cover letter to “hit them with the strongest results you have that are aligned with the opportunity,” Godfred says. Ryan Kahn , Muse career coach and founder of The Hired Group , calls this your pitch. In other words, the part where you’re “selling yourself for the position and why you’re qualified for it.”

Additionally, Godfred says, “If you’re someone who’s transitioning careers, and you need to explain that transition, you do it there.”

This section should have a balance of soft and hard skills . Talk about your experience using Salesforce or doing SEO work, but also highlight your ability to lead teams and communicate effectively.

“Companies are embracing authenticity, they’re embracing humanity, they’re looking for people who are going to fit their culture,” says Godfred. “So what are your values? What do you stand for? These values should be as much a part of your cover letter as the super specialized hard skills.

3. A great closing line

Your closing line could include your next steps or a call to action, Kahn says, such as “ I welcome the opportunity to speak with you more about how I can contribute to the team ,” or, “ I would love to schedule a time for us to discuss this role and my experience. ” But more importantly, “You want to make sure that you’re gracious and thanking them,” he says. While seemingly cliché , it never hurts to end on a simple, “ Thank you for your consideration. ”

We’ve got examples of four types of cover letters below: a traditional cover letter , an impact cover letter , a writing sample cover letter , and a career change cover letter . So let’s take a look at these examples, why they work, and how you can use them to craft your own.

1. The traditional cover letter example

A traditional cover letter is similar to what you’d come up with using position-based cover letter templates . It moves in reverse chronological order through your career history, highlighting parts of your past jobs that make you well suited for this position.

You might want to use this type of cover letter if:

  • You’re applying to a more formal company (like a law firm or major healthcare company ) or a more conventional role (like a lawyer or accountant).
  • You want to play it safe and conservative with your application materials.

2. The impact cover letter example

The impact cover letter puts your accomplishments front and center rather than organizing your paragraphs by past roles. You might use a cover letter like this if:

  • You’re applying for roles where you’re expected to deliver on certain goals or results (for example, if the jobs involve sales quotas or marketing metrics).
  • You haven’t followed a straightforward career path and your past job titles don’t show the extent of your qualifications.
  • You want your personality to stand out a bit more than it might in a traditional cover letter.

This sample cover letter concisely highlights the applicant’s most significant, relevant achievements. By adding context to how their projects were created, monitored, and completed, they’re able to show just how results-driven they are and how they’ve successfully leveraged some of the skills the company is looking for.

One thing worth noting: This person didn’t include keywords such as Constant Contact, Google Analytics, HTML, CSS, Photoshop, or Microsoft Excel—all of which are listed in the job description. But those skills are most likely in their resume already, and leaving them out gives them the space to discuss specific projects and tell a story not visible on other parts of their job application.

3. The writing sample cover letter example

For roles where written communication is key, such as PR, copywriting , or journalism jobs, your cover letter will likely be the first writing sample your future employer sees. So it’s just as important to show your skill set in action through eloquent writing.

  • Writing or editing is a key component of the role you’re applying to.
  • You want to show off your creativity.

Here’s part of a job description for a staff writer position:

  • Pitch and write articles, reporting on timely issues and trends
  • Collaborate with editorial and other teams to launch each digital issue and other special projects on schedule
  • Evaluate content performance and digital trends on a daily basis to constantly adjust pitches and packaging
  • Utilize CMS tools, strategically select photos and videos, and request original graphics to optimize all written content for maximum engagement
  • At least 2-3 years of experience creating content at a digital-first outlet
  • Strong writing and reporting skills, and the ability to write clearly and quickly
  • Familiarity working in a CMS and with analytics tools such as Google Analytics
  • Deadline-driven, strategic thinker with a knack for crafting click-y headlines
  • Strong collaborator who thrives in fast-paced environments

Have fun with this one, but triple-check for spelling and grammar mistakes, and make sure you’re showing off your best writing. Here's the cover letter sample:

Since I could walk, I’ve been dancing. And since I could read, I’ve been glued to Arabesque Weekly. At one point, you featured one of my local heroes—a ballerina who struggled with an injury early in her career and went on to become a principal dancer at Pacific Northwest Ballet—and I plastered the article above my childhood bed. It’s still there today.

That article—and so many others you’ve published—taught me that dancing was about more than just pirouettes and arabesques and that the right kind of writer can shed light on aspects of the art that make it surprising, impactful, and universal. I can be that writer.

As an editorial assistant at TheImprovGroup.com for the past two and a half years, my main responsibility was to get all of our content ready to go live on the site. 4. The career change cover letter example

Cover letters can play a big part in helping career changers prove their qualifications—especially when it’s unclear how their skills transfer over to this new field.

You might write a career change cover letter if:

  • You want to highlight the transferable skills you have that relate to the job description.
  • You want to explain why you’re making the switch and what’s driving you toward this specific industry, company, or position.

Imagine you’re someone who has experience supporting a sales team as an administrative assistant , and you’re now looking to become a sales representative. You come across a job posting that includes:

  • Develop new sales techniques and strategies to build pipeline and hit team goals
  • Coordinate with other teams to increase lead-generation efforts
  • Assist in the processing of new business, including contacting customers to finalize sales and service transactions
  • 1-3 years of successful sales experience
  • Strong communication skills
  • Ability to thrive in a fast-paced, ever-changing environment
  • Ability to work independently to plan, set priorities, and effectively organize work

Typically, this type of cover letter should include a compelling narrative about your career change and how you can transfer your past experiences to this new role. Here’s how you might translate your past experience over to this new (and exciting) prospect:

Here are a few more tips to help the cover letter process:

Start with a “brain dump” 

If you’re staring at a blank page, Godfred always recommends that her clients start by getting all their ideas on the page without paying attention to length. Then “ask yourself how you can cut half of it,” she says. You’ll likely find that repeated information and very generic phrases are the first to go. (If it’s still too long, here are some tips for getting your cover letter down to one page .)

Don’t just repeat your resume

You only have so much space to get your point across, so focus on the information that isn’t stated elsewhere rather than simply regurgitating your resume. A good cover letter should complement your resume, so use the opportunity to elaborate your skills and qualifications further, as well as your accomplishments and why you're a good fit for that position.

Focus on quality over quantity 

Target the jobs you’re most closely drawn to and qualified for and give them all your energy, rather than trying to churn out hundreds of cover letters, Kahn says. You may not be able to apply to as many jobs, but you’ll have a better response rate.

Remember the ATS 

Much like your resume, an applicant tracking systems, or ATS , will be sifting through your cover letter. So you’ll want to scatter relevant keywords from the job description throughout your pitch where it makes sense.

Don’t stress over formatting 

You may see flashy cover letter examples across the internet, but for the most part, it just isn’t necessary. An ATS can’t read text that has been formatted beyond using bold, italics, underline, and color, so keep your font and layout simple—especially if you’re submitting your cover letter through an online portal.

Don't forget your contact information

Include your contact information on every page, including your name, phone number, and email. “Imagine you come across a cover letter and you print it out with a bunch of applications to review and it doesn’t have the person’s contact information on it,” Godfred says. “You never want to put yourself in a situation where you’re the right person and they can’t find you.”

Edit your cover letter before submitting

Never submit a cover letter right after you finish writing it—there could be critical errors that you didn't notice while typing. Take some time away from your text, then revisit it like you're reading someone else's letter. Be sure to double-check all the information you've included, paying special attention to:

  • The company's name
  • The hiring manager's name
  • The job title
  • Your contact information
  • Basic grammar and spelling

Note : All text on the title page should be double-spaced and typed in either 12-point, Times New Roman font. In the 7th edition, APA increaded the flexibility regarding font options: which now include Calibri 11, Arial 11, Lucida Sans Unicode 10, Times New Roman 12, or Georgia 11. All words should be centered, and capitalize the first letter of important words.

Running Head

In the 7th edition of the APA style manual, running heads are only required for professional papers that are being submitted for publication (student papers do not require a running head, but still need a page number).

Your title page should contain a running head that is flush left at the top of the page and a page number that is flush right at the top of the page.

Place the running head in the page’s header:

  • The running head is the abbreviated title of the paper (IN UPPERCASE LETTERS) aligned left on the page header of all pages, including the title page. APA (7th edition) guidelines require that running heads be a maximum of 50 characters (spaces count as characters).
  • The “Running head:” label used in the APA sixth edition is no longer used.
  • Place the page number in this same header, but align right, beginning with page number 1 on the title page.
  • This header should be 1 inch from the top. Some instructors allow for 1/2 inch, too, but the default is 1 inch.

Paper Title

Position the title of the paper in the upper half of the page. The title should be centered and written in boldface, and important words should be capitalized.

The APA recommends that your title should be a maximum of 12 words and should not contain abbreviations or words that serve no purpose.

Author Name(s)

Institutional affiliation.

Position the school or university’s name below the author(s) name, centered.

A student paper should also include the course number and name, instructor name, and assignment due date.

I am writing to apply for the position as assistant professor of English with an emphasis in rhetoric and composition that you advertised in the October MLA Job Information List. I am a graduate student at Prestigious University working on a dissertation under the direction of Professor Prominent Figure. Currently revising the third of five chapters, I expect to complete all work for the Ph.D. by May of 1999. I believe that my teaching and tutoring experience combined with my course work and research background in rhetoric and composition theory make me a strong candidate for the position outlined in your notice.

As my curriculum vitae shows, I have had excellent opportunities to teach a variety of writing courses during my graduate studies, including developmental writing, first-year writing for both native speakers and second language students, advanced writing, and business writing. I have also worked as a teaching mentor for new graduate students, a position that involved instruction in methods of composition teaching, development of course materials, and evaluation of new graduate instructors. Among the most satisfying experiences for me as a teacher has been instructing students on an individual basis as a tutor in our university Writing Lab. Even as a classroom instructor, I find that I always look forward to the individual conferences that I hold with my students several times during the semester because I believe this kind of one-on-one interaction to be essential to their development as writers.

My work in the composition classroom has provided me with the inspiration as well as a kind of laboratory for my dissertation research. My project, The I Has It: Applications of Recent Models of Subjectivity in Composition Theory, examines the shift since the 1960s from expressive models of writing toward now-dominant postmodern conceptions of decentered subjectivity and self-construction through writing. I argue that these more recent theoretical models, while promising, cannot have the liberating effects that are claimed for them without a concomitant reconception of writing pedagogy and the dynamics of the writing classroom. I relate critical readings of theoretical texts to my own pedagogical experiments as a writing teacher, using narratives of classroom successes and failures as the bases for critical reflection on postmodern composition theory. After developing my dissertation into a book manuscript, I plan to continue my work in current composition theory through a critical examination of the rhetoric of technological advancement in the computer-mediated writing classroom.

My interest in the computer classroom has grown out of recent experience teaching composition in that environment. In these courses my students have used computers for writing and turning in notes and essays, communicating with one another and with me, conducting library catalogue research and web research, and creating websites. I have encouraged my students to think and write critically about their experiences with technology, both in my class and elsewhere, even as we have used technology to facilitate our work in the course.   • Refer to the job title as it appears in the notice, and state where you learned of the position.
  • Mention your major professor by name, especially if he or she is well known in your field. Also, mention your expected completion date.

  • For a position at a small undergraduate college, emphasize teaching experience and philosophy early in the letter.
